Missed calls report. Sample data.

In short

Five things to know before the demo.

What you get, in the words we'd use on a call with a managing partner.

See a sample daily brief
  • 40% of firms answered

Clio's 2024 secret shopper study found 40% of law firms answered a prospective client's call, down from 56% in 2019, and 48% were unreachable by phone.

  • Missed calls report

The missed calls report shows every caller who couldn't get through, whether they were called back and how fast, and who is still waiting, with the number to dial.

  • Every call, summarized

Every recorded call gets an AI call summary, action items, tags and a sentiment score. Read the intake calls without replaying them.

  • Toronto

    Processed in Canada

Recordings, transcripts and summaries are processed on Vantact-operated hardware in Toronto and never leave Canada.

  • Enabled per extension

Enabled per extension. Turn it on for intake, reception and the partners who want it.

Who it's for

The brief for the managing partner. The dashboard for intake. One system.

Built for

Good fit
  • Managing partners who want to know how many prospective clients called yesterday and never reached anyone.
  • Intake and reception teams measured on response time.
  • Firms spending on marketing that produces phone calls.
  • Firms with confidentiality obligations that rule out US cloud AI tools.

Not built for

Wrong fit
  • Firms that want a live answering service to pick up the phone (this reports on what happened; it doesn't answer).
  • Contact centres that need real-time agent whisper.
  • Firms that don't record calls. The analytics work from recordings, so recording has to be on for the extensions you enable.

Not sure? Twenty minutes with your intake numbers settles it.

How many prospective clients reach your firm?

40%

Firms that answered a prospect's call

Down from 56% in 2019 (Clio 2024 Legal Trends Report).

20%

Firms that returned a missed call

Of the firms that missed the call, one in five called back (Clio 2024).

79%

Consumers expecting a reply within 24 hours

And 73% of secret shoppers said they would not recommend the firms they contacted (Clio 2024).

Clio's secret shopper study contacted 500 law firms as prospective clients. 40% answered the phone, 52% either answered or returned the call, and the remaining 48% were unreachable by phone. Of the firms that missed the call, only 20% called back. 64% of inquiries got no follow up at all, by phone or email.

Most firms don't know which of those numbers is theirs, because the phone system reports how many calls came in, not how many prospective clients never spoke to anyone and never tried again. That's the report intake managers open first.

What it does in a law firm

Missed calls report: who couldn't get through, who got a call back, who is still waiting.

Missed calls

Every prospective client who couldn't get through, whether anyone called them back and how fast, and who is still waiting. Most urgent first, with the number to call.

Where it pays off

Intake

Every prospective client who called and never reached a person, with the number to call and the time they called. Tags on practice area, urgency and whether they mentioned another firm.

Reception

Callers who hung up in the queue, callback promises, and repeat callers about the same matter. Coaching notes from real calls.

Partners and associates

Client calls summarized with action items, so the file note writes itself and nothing said on the phone is lost between calls.

Accounts

Fee questions, invoice disputes and retainer top up conversations tagged and flagged before they become a complaint.

Frequently Asked Questions

Does AI call analytics work with the phones our firm already has?keyboard_arrow_down
Yes. It runs inside the Vantact cloud phone system, which provisions Yealink, Poly, Cisco and Grandstream handsets. If you're not on Vantact yet, it's part of the migration, not a separate project.
Can we turn it on for intake and reception only?keyboard_arrow_down
Yes. It's enabled per extension. Most firms start with intake, reception and one or two partners, and add extensions as they see the value.
Where are our recordings and transcripts processed?keyboard_arrow_down
Call transcription and AI analysis run on Vantact-operated hardware in Toronto. No call audio, transcript or summary leaves Canada.
Does it show missed calls?keyboard_arrow_down
Yes. The missed calls report shows every caller who couldn't get through in the selected period, whether they got through later on their own, whether someone on your team called them back and how quickly, and who is still waiting. Callers still waiting are listed most urgent first with the number to call.
Do we need to announce that calls are recorded?keyboard_arrow_down
Canada is a one party consent jurisdiction for recording a call you are part of, and many firms still choose to announce it. We configure recording announcements per firm and per line, so you can announce on intake lines and not on internal ones, or the other way around. Ask your own counsel what your firm's policy should be.
How is a negative call defined?keyboard_arrow_down
You define it. The system ships with defaults, and you can set what a positive, neutral or negative call means for your firm, so a fee question and a missed deadline complaint are scored the way your partners would score them.
Does it replace an answering service?keyboard_arrow_down
No. It reports on what happened on the calls your firm handled or missed. It works alongside an answering service, and it will show you how many of the calls the service took were actually returned.
